Seven Questions to Ask Before Choosing Load Planning Software

Load planning tools often look similar during a sales demonstration. Cargo fits neatly inside a trailer, space utilization appears on screen, and the proposed arrangement is ready within seconds.

The real differences emerge when planners import imperfect data, add restrictions or adjust a plan for the warehouse. Companies should therefore compare load planning software using real operational scenarios, not only feature lists.

1. Can it model your actual cargo and vehicles?

Start with the equipment and goods your company handles regularly.

A manufacturer may use trailers, rigid trucks and containers during the same week. An importer might need reliable container loading for pallets, cartons, crates and oversized items.

Test the software with your own vehicle dimensions and cargo data. A system that performs well with identical boxes may struggle when pallets overhang, dimensions vary or packaging types are combined.

The key question is whether your team can describe a real shipment accurately enough to create a usable plan.

2. Does it respect real loading restrictions?

Cargo is not practical to load simply because it fits.

Some items must remain upright. Fragile cartons cannot support weight. Heavy equipment may need to stay on the floor, while products for the first delivery stop should remain near the door.

A useful test shipment might include:

stackable pallets;

fragile cartons;

heavy machinery;

several unloading destinations;

items with limited rotation.

Good truck loading software should support the rules planners apply in daily work. A long list of constraints means little if the settings are difficult to use or do not reflect operational reality.

3. Can planners adjust the automatic result?

Automatic optimization should be a starting point, not the final authority.

A mathematically efficient plan may hide labels, create an awkward forklift movement or place unstable cargo near the entrance. Planners still need to review the arrangement and make practical changes.

During the trial, move a heavy pallet, reserve space near the door or change the loading order. Check whether the remaining cargo is recalculated predictably.

4. Will the loading crew understand the plan?

The employee preparing the plan is not always the person loading the vehicle.

Forklift operators, drivers or external warehouse teams need clear information about cargo position, orientation and sequence. Ask someone who did not create the test plan to interpret it.

Can they identify which pallet should be loaded first? Are similar items distinguishable? Would the instructions remain clear on a busy loading bay?

A 3D visualization can make cargo loading easier to understand, but the output may also need numbered steps, multiple views or a printable report.

5. How much preparation does the data require?

Planning time begins before optimization starts.

If a planner handles eight shipments per day and spends seven minutes cleaning each spreadsheet, that equals 56 minutes of administration daily.

Import a normal shipment file rather than a prepared sample. Record how many fields must be changed, how often data is retyped and how long preparation takes.

A spreadsheet import may be enough for a smaller business. Larger organizations may require ERP, SAP or API integration. In both cases, dimensions, weights and quantities should not be entered repeatedly.

6. Can plans be saved and reused?

Many B2B shipments follow familiar patterns. Quantities change, but the products, vehicle type or customer requirements remain similar.

Open a saved plan after several days and ask another employee to update it. Can they see which restrictions were applied? Is the correct version easy to identify? Can it be shared without additional explanations?

This matters when a company depends on one experienced planner. The software should help transfer operational knowledge, not hide it inside files only one person understands.

7. Can you test it with a difficult shipment?

Do not base the decision only on a vendor demonstration.

Select one routine shipment and one demanding case involving mixed dimensions, restrictions or several delivery stops. Use the same scenarios for every shortlisted tool.

The best planning tool is not necessarily the one with the longest feature list. It is the one that reflects your cargo, accepts everyday shipment data, supports human judgement and produces instructions the warehouse can follow.

Before starting a trial, define the vehicles, restrictions and outputs you want to test. Then evaluate the process from data import to final loading instructions.
