4 Tips to Write a Quality Quarterly Earnings Press Release
Create a Template.
Establishing a uniform template ensures you’ll follow the correct press release format each time, not to mention, it simplifies the task of tracking and comparing your quarterly earnings.
Each press release follows the same flow:
- Short Introduction
- Quotes from the CEO
- Quarter highlights
- Year-to-Date highlights
- Key performance indicators
- Non-GAAP information
- Financial tables
Tell a story.
Unlock the potential of your business by utilizing data to craft a powerful narrative.
Help your C-suite executives make sense of the numbers and use the story to excite the public about your quarterly earnings.
Make sure to include financial tables in your press release, as this is what financial journalists and traders look for.
Using this information, you can craft effective email and social media campaigns to spread the news, too.
Data is the key to controlling the conversation around your business – use it to your advantage!
Note: We do not charge extra fees per financial table in a press release.
Stay on topic.
Focus only on your quarterly earnings by concisely sharing your information.
When you stick to the basics, you’ll improve your press release’s readability and keep the focus on the information your audience came for in the first place – your quarterly earnings.
Include links.
Share relevant information with your readers and keep them engaged by including links to investor relations and product pages in your earnings press releases.
This helps provide helpful information to your target audience and gives them a better understanding of your products and services.
By including these links, you’re making valuable data and facts easily accessible to your end-users, making it easier for them to make informed decisions.
TIP: Add UTM parameters to your links to keep track of the website traffic generated from the press release. Unique UTM parameters are tags you can add to a website URL to track results and performance in Google Analytics effectively. These tags include:
- Source – This is used to identify what source the traffic is coming from. (Examples: the name of the social media network, newsletter, etc.)
- Medium – This defines the advertising or marketing medium. (Examples: organic social, paid social, email, PPC, etc.
- Campaign – Helps identify which campaign the promotion is connected to.
- Term – Manually identify the keywords your company’s targeting in the specific campaign.
- Content – Identifies the specific content that was clicked to drive the website traffic.
NOTE: You don’t have to use all five UTM parameters when building a link. However, according to Google, source, medium, and campaign are required.
6 Must Haves for a Quarterly Earnings Press Release
If you want to make the most of your earnings press release, it should include six essential components.
Think of them like pieces of a puzzle – each one is important to create the full picture. Every press release should include:
- Headline
- Summary
- Date and location
- Body
- Boilerplate
- Closing
Headline
Grab your readers’ attention with captivating and informative headline. Your headline should be clear and attention-grabbing while also hinting at the press release’s topic.

Summary
Your press release summary is an overview of the content you’re sharing. It provides readers with more information to back up the headline, spark their curiosity, and confirm the topic of the press release.
You don’t want to give too much away, but you should include enough to draw your readers in. The summary should be engaging, informative and provide an insight into the data points, facts, and concepts that are presented in the press release.
Date and Location
The date and location are placed at the beginning of the press release right before the first line of body text.
It’s usually separated with an em dash.
Always capitalize your city’s name, abbreviate the state, and share the date.
Here’s an example:
RALEIGH, N.C., October 1, 2023 — First line of body text.
Body
The body text of the press release is where you share the details of your quarterly earnings. Here’s what you need to include
Paragraph 1: Use the inverted pyramid to emphasize the most important information – the who, what, when, where, why, and how. This tried-and-true method is exactly what journalists need to know.
Paragraph 2: To give readers context, include extra information like facts, figures, and statistics.
TIP: Include high-quality visuals and graphics to increase engagement and add to your announcement. Did you know when you work with ACCESSWIRE, you don’t have to pay an extra fee for multimedia?
Paragraph 3: Include a quote from a company leader or expert to make your press release engaging. These quotes are often the most widely shared part of a press release.
TIP: The ideal length of a press release is between 300 and 400 words. You can learn more, here.
Boilerplate
The boilerplate is where you can share an overview of your company, what you have to offer, your mission, any awards/accolades you’ve recently received, and your company’s objectives and operations.
Boilerplates start with About (insert company name).
Closing
Mark the end of your press release with three, pound symbols with em dashes on either side. Example: — ### —
These symbols prevent additional information from being published as part of the press release.
