POS Hardware Cost in 2026: What a Lane Really Costs

POS hardware cost for one retail lane (terminal, receipt printer, cash drawer and barcode scanner) runs $724 to $1,317. A restaurant lane with a kitchen display system (KDS) runs $1,279 to $2,113. All prices are Volcora list prices on Sept. 25, 2026.

Three of the four core checkout parts cost under $110 each: receipt printers top out at $115, cash drawers at $89 and barcode scanners at $63. Terminals start at $555.

POS Terminals: $555 to $1,049

Why can two 18.5-inch Core i5 terminals list $242 apart? The higher-priced one pairs a newer Core i5 generation with 16GB of memory and 256GB of storage instead of 8GB and 128GB. On our Standard terminals, processor generation, memory, and storage together set the tier, not the Core i5 label alone. Other matched steps:

  • With the same 8GB and 128GB, the Petite costs $116 more with an Intel N97 than a 4th gen Core i5.
  • A second, customer-facing screen adds $63 on the N97 8GB configuration.
  • Moving from the 15.6-inch Base to the 18.5-inch Plus adds $32 on the N95 tier.
  • The Android 14 terminal lists at the same price as the equivalent 8GB Windows Core i5, so the operating system alone does not set the price.

Receipt Printers: $82 to $115

A printer can cost more for a connection you never use. The range runs from the 50020X Series starting at $82 up to the High Performance Receipt Printer Pro with Display at $115, which lists up to 350 mm/s print speed and 150 kilometres of printhead life. On the same 50020X, the Bluetooth version costs $10 more than the Ethernet one. Three of the five list an RJ11 socket for a printer-driven drawer.

Cash Drawers: $45 to $89

Pick the wrong drawer interface and it may not connect to your setup. Printer-driven drawers connect by RJ11/RJ12 to the receipt printer, not the terminal. The USB drawer at $89 connects to a Windows PC through a virtual COM port instead, which sits $20 to $26 above comparable 16-inch printer-driven models at $63 to $68. Check POS software support before choosing the USB option.

Size moves the price more than opening type does. The 13-inch models run from $45 to $58 depending on tray configuration and finish. The 16-inch range runs from $63 up to $81 for the fully removable 2-tier tray version, with the USB model at $89 sitting above that. Barcode Scanners: $42 to $63

Budget for 2D from day one. The wireless 2D scanner with stand lists at $42, the wired tabletop at $45, and the high performance wireless with charging base at $63. GS1 US Sunrise 2027 describes the move from 1D to 2D barcodes and asks retailers to make sure point-of-sale systems can read and process the new codes.

Kitchen Display Systems: $618 to $734

Same screen size, same IP54 enclosure, $116 apart: what changes? Operating system, processor, and storage, all at once. The Android 14 model (8GB memory, 64GB storage) lists at $619. The Windows 11 IoT Enterprise LTSC model (Intel N95, 8GB memory, 128GB SSD) lists at $734.

Both are 21.5-inch Full HD screens with glove-responsive touch and VESA 75×75 and 100×100 mounting. IP54 means dust protected and splash resistant. KDS software is a separate cost. See both in our kitchen display system range.

Budget a full lane by adding one of each part at its lowest and highest list price.

The terminal is 77 percent of the lowest retail lane total and 80 percent of the highest, so price it first. Multiply the retail lane total by your lane count, then add kitchen displays for the kitchen. 

Any quote you compare should name its parts, configurations, and date, or the numbers are not comparable.
